Project Administration Assistant

We are looking for a new project assistant to complement our team based in Berlin that deals with the development and implementation of transnational EU funded projects (Interreg, Horizon, BBI-JU programmes) and the facilitation of the SUBMARINER Network. Tasks are especially related to the formal administration of project applications and project implementation; including among others financial management and reporting; online application systems; administrative reporting; invoicing; procurement (i.e. for graphic and web design, printing, conference locations); database and website maintenance; preparation of meeting agendas, minutes and power point presentations. 

We look for a candidate, who has already gained some professional experience in developing and managing EU-funded projects or alternatively comparable organisations. Background knowledge and/or experience in working with graphic design, database and/or website programmes is regarded as a strong asset; as well as proven organisational and office management skills.

Knowledge, experience and skills:

  • Relevant degree (e.g. international project / NGO management, public and/or business administration, economics, office management);
  • Prior experience with administrative management of EU-funded projects;
  • Excellent German and English are a prerequisite; another EU language would be an asset;
  • Excellent communication, writing and organisational skills; ability to organise and document meetings; including preparation of registration and facilitation tools; organisation and supervision of sub-contractors (i.e. location & catering) as well as assistance in the development of our regular online newsletters;
  • Very good computer skills (MS Office – esp. PowerPoint, Excel); experience with CMS website management (esp. Joomla) and or databases (e.g. Access) would be an asset.

The ideal candidate should have excellent coordination, organisational as well as communication skills and the ability to work in multi-cultural environment. We look for a highly motivated person. You should be able to work independently, while at the same time being able to work in teams with other staff members as well as project partners. Most importantly we look for someone, who is curious, open-minded, and who wants to join us on a long-term basis in order to continuously improve our own processes.

Starting date: May / June 2021

Duration: The assignment does not have a fixed end date.

Working Hours: Full-Time; 25 hours minimum
